CAS application pack

  • System description
  • Sample invoices
  • Sample books and reports
  • Audit trail printout
  • Annex B checklist

Dear Mr. Dela Cruz, here is what we heard and what we recommend.

Thank you for the discovery call on 28 October with Ms. Ana Reyes, your Finance Manager, and your branch heads. Sample Trading Corp. issues about 2,400 sales invoices a month from booklets at three sites, keeps its books in spreadsheets typed in from those booklets, and closes each month about twelve working days after month-end. Your accountant has advised you to move to a Computerized Accounting System (CAS), so that invoices come from the system and the books follow from the entries.

We recommend Odoo 20, set up for BIR requirements at your head office in Quezon City and your Cebu and Davao branches, with your CAS application samples printed from the Odoo you will actually use. You file at your RDO; we prepare the system description, sample invoices, books and audit trail printout with you, and stay on call for the RDO's questions.

The investment is PHP 434,560 including VAT, paid in three milestones, with go-live planned for Monday 4 January 2027, the first working day of your 2027 books. One cut-over at year-end means one set of opening balances and no mid-year migration.

  • One set of books for three sites.

Invoices, journals and BIR reports come from the same entries, by branch, in one database.

  • Your CAS application, prepared from your own Odoo.

Sample invoices, books, reports and the audit trail printout, reviewed with you before you file.

  • A team that stays on.

Thirty days of hypercare are included, then a support plan with response times in writing.

Recommended hosting: Odoo Online on the Custom plan, which includes Studio for your invoice layout. Cloud set-ups register too: you and the provider sign a joint sworn statement that the system cannot suppress sales. We confirm the hosting with you at kick-off, because it decides what goes in your application.

Either party may end it with 15 days' written notice. Work done to that date is billed at the line prices above.

TechNext is an Odoo Ready Partner. We are not affiliated with, accredited by or acting for the BIR or any government agency, and we do not file or register on your behalf. The BIR does not accredit software brands; it registers each taxpayer's use of a system. Registration decisions and their timing are the BIR's. This proposal is general guidance, not tax advice; confirm tax matters with your accountant or RDO.

Questions decision makers ask us.

Is Odoo BIR-accredited?

No software is. The BIR registers each taxpayer's use of a system, not a software brand, and in its advisory of 14 September 2026 it warned against "BIR-accredited" claims. Your business registers Odoo as its CAS and, if the RDO accepts the application, receives an Acknowledgement Certificate.

Who files the CAS application?

You do, at your RDO, in person or by email. We set up the system, prepare the samples, the audit trail printout and the system description with you, and stay on call for the RDO's questions.

What happens if the certificate is late?

Go-live waits for it, and the plan says so openly: your booklets stay in use until the certificate arrives, and go-live moves to the first Monday after it does.

What do we pay Odoo?

Your Odoo subscription, per user, billed by Odoo directly. It is separate from this proposal. We help you choose the plan and the number of users before you subscribe.

Can we start with head office only?

Yes. Each branch registers its own use of the system, so a phased start is possible. We recommend all three sites at year-end, because one cut-over means one set of opening balances.

Do we have to re-register when Odoo upgrades?

A version change that affects the financial side counts as a major enhancement, which needs an updated registration before you use it. Minor changes need only a written notice. We plan upgrades so you can file first.

What if we need more after go-live?

Requests come out of your support plan hours. Larger work, such as payroll or a new branch, is quoted in writing first, like the optional items in section 10.
